What You Will Be Doing

You will serve in the vital role of Office Manager and will also interact on a daily basis with all clients, partners, employees, and vendors at our Headquarters in Falls Church, Virginia. You will also work directly with our Chief Executive Officer. Responsibilities of the position include:

  • Manage office operations and assist in all administrative office functions and procedures.
  • Assist CEO with managing his appointments, travel and administrative tasks.
  • Serve as the Falls Church, VA office interface with internal corporate operations support teams (HR, Contracts, IT, Accounting, Communications, etc.).
  • Serve as a point of contact for external vendors (including building management, IT, Security, office supplies, and all other relevant vendors needing access to the work space).
  • Manage and track action items and the implementation of internal initiatives with senior staff.
  • Manage the front desk / reception function of the office to ensure facility and conference rooms and kitchen are clean and prepared for events, meetings, and important client interactions.
  • Ensure proper guest management practices and security procedures..
  • Assist the HR Manager with emergency procedures to ensure coordination with the executive team to notify staff in case of, office closures, delays, and other events.
  • Assist in the onboarding of new hires (work space assignment, phone setup, coordination of first day schedules, provision of onboarding packets).
  • Assist with travel coordination, expense reports and ad hoc support to the executive management team.
  • Assist executive leadership to set the agenda for meetings, coordinate attendees and create meeting materials.
  • Assist the HR Manager in planning and organizing social events to include making food and beverage orders.
  • Support production of customer materials and proposal materials 
  • Assist in the maintenance and updates of all social media accounts for marketing and communications purposes.

What You Need For This Position

  • Three years administrative or office management experience
  • Highly organized with the ability to prioritize multiple functions and tasks while managing his or her workflow efficiently
  • Leadership ability, discretion and excellent judgement
  • Ability to work well in complex and dynamic teams
  • Computer literacy including skills with MS Office suite to include word, excel, and Power Point.
  • Knowledge of social media and social media tools
  • Strong written and verbal communications skills
  • Positive and professional attitude and presence
  • Baseline understanding of corporate administrative operational functions to include finance, human resources, contracts, IT, etc.
